Office Administrator Role

Open Book is looking for a new Office Administrator.

 

Initially, this is a freelance contract, 20-25 hours per week from approx 17 June to 18 November 2024, the terms of which will be reviewed upon learning the outcome of our Multi Year Funding bid. The role requires an office presence each working day (Monday to Friday), working from our office in south Edinburgh, with specific working hours to be agreed. The other three members of the team work variable hours. The rate of pay for this fixed term freelance contract is £15/h.

We are looking for an applicant whose skills and experience would enable them to fulfill the role set out in the following  job specification:

  • Writing copy for, and copyediting weekly Unbound newsletters
  • Managing the session calendar for Lead Readers
  • Managing and updating SLACK, Mailchimp and Eventbrite session booking functions and in particular supporting  workshop participants with any queries or difficulties in accessing sessions.
  • Preparing and collating materials for evaluations and writing evaluation reports
  • Maintaining the Open Book library and supporting Lead Readers by organising and supplying them with reading materials for Open Book groups, including managing Kindle borrowing and loading and preparing themed packs for creative writing Lead Readers
  • Undertaking preparation of posters, flyers and other marketing materials and liaising with Lead Readers to supply those
  • Maintaining stationery and general office supplies
  • Supporting the administration/ induction of new Lead Readers including delivering training including (but not limited to) shared reading, SLACK and library use sessions
  • Creating materials for training sessions
  • Organising meetings, interviews and Lead Reader reviews as required
  • Supporting Lead Readers and participants to attend literary events throughout the year.
  • Co-ordinating the collation of material produced by groups in relation to various projects (in the past these have included Open Book Pamphlet, Scottish Book Trust submissions, Push The Boat Out event participation.)
  • Handling minimal correspondence including recording and issuing invoices
  • Answering telephone calls
  • And general office duties to support the work of Open Book
